Terms of Service

Booking terms and guest policies

Effective Date: September 18, 2024

Welcome to The Bodhi at Flat Mountain Estates. These Terms of Service ("Terms") govern your use of our vacation rental property and website. By making a reservation, you agree to these terms.

Booking and Reservations

Reservation Process

  • Booking Confirmation: Reservations are confirmed upon receipt of required deposit and signed rental agreement
  • Payment Schedule: 50% deposit due at booking, remainder due 30 days before arrival
  • Age Requirement: Primary guest must be at least 25 years old
  • Guest Count: Maximum occupancy is 17 guests. Additional guests not permitted

Cancellation Policy

  • 60+ days before arrival: Full refund minus 3% processing fee
  • 30-59 days before arrival: 50% refund
  • Less than 30 days: No refund unless we can re-book the dates
  • Weather/Emergency: Case-by-case consideration for natural disasters or emergencies

Property Rules and Policies

Pet Policy

  • Well-behaved pets welcome with prior approval
  • $150 pet fee per stay (covers deep cleaning)
  • Maximum 2 pets per reservation
  • Pets must be house-trained and supervised at all times
  • Pet waste must be cleaned up immediately

Noise and Behavior

  • Quiet Hours: 10 PM - 8 AM (respect for neighbors in gated community)
  • No Parties: Large gatherings, events, or parties are prohibited
  • No Smoking: Smoking is prohibited inside the property
  • Outdoor Areas: Use responsibly and clean up after yourself

Property Care

  • Treat the property with respect as if it were your own home
  • Report any damages or issues immediately
  • Do not move furniture or artwork
  • Use appliances and amenities as intended
  • Keep doors and windows locked when not at the property

Check-in and Check-out

Arrival and Departure

  • Check-in: 4:00 PM or later
  • Check-out: 11:00 AM or earlier
  • Early/Late Requests: Subject to availability and additional fees
  • Key Access: Digital lock code provided 24 hours before arrival

Departure Requirements

  • Secure all doors and windows
  • Turn off all lights, appliances, and electronics
  • Start dishwasher if used
  • Remove all food items and personal belongings
  • Report any issues or damages

Fees and Charges

Standard Fees

  • Cleaning Fee: $250 per stay
  • Pet Fee: $150 per stay (if applicable)
  • Resort Fee: Covers linens, amenities, and property access

Additional Charges

  • Excessive Cleaning: $50-200 depending on condition
  • Lost/Damaged Keys: $100 lock re-programming fee
  • Smoking Violations: $500 cleaning and deodorizing fee
  • Property Damage: Repair/replacement costs plus labor
  • Noise Violations: $250 fine for disturbances

Liability and Safety

Guest Responsibility

  • Guests use the property at their own risk
  • We are not liable for personal injury or property loss
  • Guests are responsible for their belongings and vehicles
  • Report safety hazards immediately

Insurance

  • We recommend travel insurance for your protection
  • Guest insurance should cover personal liability
  • We are not responsible for weather-related cancellations

Dispute Resolution

  • Good faith efforts to resolve disputes directly
  • Mediation preferred before legal action
  • North Carolina law governs these terms
  • Jurisdiction in Macon County, NC courts

Modifications

We reserve the right to modify these terms at any time. Changes will be posted on our website with an updated effective date. Your continued use of our services constitutes acceptance of modified terms.
